My Database - Import Contact Lists

Prerequisites

You must have access to the partner portal and the Partner Tools Portal. Please contact the partner team to request access. When logged in to the partner portal, you can immediately see if you have access, as you will see the Partner Tools Menu Icon. My Database

The My Database tab in the Partner Tool is where you manage your lists. This tool section enables you to import contacts, review contacts, create lists, and export.

Import Contacts

From the MyDatabase menu, select Import Contacts.

The import screen will load, Click the Import button to import your contacts. 

The file type selection screen will load. There are two options.

Import Contacts Option One

The first option enables you to create a contact list. Select Import CSV, TXT, XLS, or XLSX File from the dropdown and click Go. 

Click on the Upload button.

The Upload Documents page will load.  Drop files or click to upload a file from your computer.  Several formats are supported:  TXT, PDF, DOC, DOCX, CSV, XLS, XLSX, CSS, XML, PPT, PPTX, ZIP, ZIPX, RAR, 7Z, S7Z, CFS, ICS, VCS, DWG, STEP, STEP, STP, MP3, and MMP file types.

Once you have selected or dropped the file and it has loaded, you will see a checkmark indicating success. Use the X in the right-hand corner to close the window.

If you are uploading an Excel file, select one of the two options below and upload the file to the Partner Tool.

 

Click on the file you just uploaded to select it. You will notice a checkmark indicating that it has been selected. Click the next > icon at the top of the page to move to the next step.

Once we click on Next, we get the field mapping option. The mapping page will load.  This screen has multiple options:

Update Current Contact Data? If there are existing contacts in the account, we can use this option to update the existing contacts.

Field Mapping - Map the available fields from the list in the Partner Tool. You must have either an email address or mobile number to import the list.  By default, the tool will add these contacts to a recipient list called “ Import [Date] [Time]”. To create a new recipient list or add your contacts to a recipient list, click on the “+” Icon.  You can add contacts to more than one recipient list.

  1. Select the option to check that you verify that the list has opted in to receive communication.
  2. Select to update your current contacts & add to the list selected below.
  3. Select the +plus sign to create a new list for this import.
  4. Carefully review each field you are importing and use the dropdowns to select the field to which you want to map your data. 
  5. Click Finish.

Select a recipient list that has already been created, or you can create a new recipient list. 

If you are creating a new recipient list, create a name for your list and click "Save". Once you've selected your recipient list, click "Select" in the bottom right corner of the window. To remove the original recipient list, click on the "X" icon to remove it.

Now, you can simply enter the name of the new contact recipient list in the provided field. If it doesn't already exist, the system will offer it as a new selection in the dropdown menu for you to create and choose from.

Check for the existing contact list if you are updating contacts.

If you would like to update contact data with this list import, select the checkbox next to "Update current contact data?". This allows you to bulk update contact records. Please remember that if you have a CRM integration set up, the CRM record is the master record, so if you need to update contact records, please do so in your CRM. Ensure that all contacts are opted in to receive emails from your company. Once you have completed these two steps, click "Finish".

Import Contacts Option Two

The second option enables you to create a list of comma-separated email addresses. Select Import by email addresses from the dropdown and click Go. 

The Import by Email page will load. Type or paste comma-separated emails in the space provided. For example, test@domain.com or test2@domain.com.  

Click the > icon.  

A screen will load, enabling you to update the contact data or create a new list.  

  1. Update current contact data (duplicates will still be added to recipient lists.  A new recipient list will automatically be created with the time and date.   Click Finish if you selected this option.
  2. To update a current list or to create a list for this import, click on the +plus sign.

If you click on the +plus sign, select a current list or click Create to add a new one.

  1. To select an Existing List, click on the list to highlight it, click the Select button, Click Finish, and click the X to Close the page.
  1. To Create a new list, click the Create button. After filling in the list details, click the Save button.
